(Quite a few questions were around how to actually set up in business, how to get paid, how to onboard clients/do operations/set up systems, how to feel confident and ready and so on… this email is not about “pitching” it, but this is covered in great detail in our FAB VA Programme… we even have an ENTIRE course on how to develop your confidence that people rave about, for example. So please have a look at that if you’ve “set-up”-type questions.)

There were a few recurring themes: 

• How to package and price services
• What services to offer (and which ones make money)
• How to get clients and leads
• How to develop the skills, and…

People also wanted to know a bit more about digital marketing in general, and what it can mean if you’re a VA who wants to generate income, so in this first email, let’s start there.

The phrase “the digital revolution” is so common, we sometimes forget we are only in the very early stages of it.

In particular, digital marketing – by which we mean helping businesses get more visibility, more leads, and more customers using online tools like social media, email, websites, and automation – is a huge and growing market.

If you’re saying “but I’m not a marketer” – bear with me, as we get into that below – but look at the opportunity in the UK:

• Online marketing spend is growing and UK businesses are investing heavily – online ad formats made up 78% of all UK ad spend (~£28.7 bn) in 2023 (source: IAB)

• Most UK small and medium-sized businesses use digital marketing – around 60% use paid digital ads, and 67% use free digital tools (source: eConsultancy)

• Nearly half of UK companies outsource at least some marketing work – this is especially true in business to business (source: Full Mix Marketing)

That means lots of activity, lots of spend, and lots of demand for help. This is ideal for VAs who can offer support with execution.

Rob Tyson, who I have worked with for many years and who has been working in digital marketing for over 20 years, working directly with and training small businesses, explains:

“There are tons of small businesses who need help with this. It’s a growing market – and there’s actually a gap in the market that VAs are in an ideal place for.

Just about every small business owner I’ve ever dealt with feels they need to be doing more marketing, and wants to do more. Generating more interest through marketing gets the cash till ringing. It isn’t like more general VA work which can maybe be looked on as more of a cost. And, in my experience, small businesses who want to do more aren’t expecting “the moon on a stick”. They just want some reliable help to move them to the next level, and as long as they sense benefit, they want to keep going every month, and do more.

At the same time, getting into very high value contracts with a marketing agency is scary for them. So, actually, a VA who comes to them and says: I can offer small, clearly defined services initially, so you can test the water, and build up, sounds very attractive to them. Most agencies have large overheads and so the maths don’t really work for them. 

Having run a marketing agency with staff, I can tell you: it is really not worth your while unless a business can invest perhaps £3000 per month at absolute minimum. There are huge numbers of businesses at the stage where that is too big a commitment but starting at £500, £1000, £2000 a month is not. That leaves a huge gap in the market for a VA who can do simple things.

The marketing of a lot of small businesses tends to be quite basic, or patchy. Most small business owners don’t consider themselves “marketers” and they often don’t really know where to start. Their business is typically based on their own personal relationships or location or maybe one or two “reliable” marketing methods they have, such as a directory listing or professional association. That gives them a “baseline” of business, but they are very aware that a) they are missing out, and b) they are vulnerable if their “usual” channel dries up. What this means is that a little goes quite a long way with these businesses. 

Of course, clients want to see a return. But at the small business level, clients aren’t creating massive spreadsheets to track every click or page view. It’s usually much more “gut feel.” So they are very likely to invest money in things that help with a few things:

1 – Do I finally look professional and consistent online?

Don’t underestimate this one! This is a big one for a lot of small businesses. People feel like they’re behind competitors, inconsistent, disorganised, often social media pages are untidy, out of date, or using poor imagery. A VA can do a lot here, just coming to things with fresh eyes, and psychologically it can give clients a big boost. If a social media page looks neglected or abandoned, it can affect the confidence of prospects. Just by posting once or a few times a week consistently, a VA can help a lot with this and the business owner knows it’s taken care of.

2 – Did this bring me more enquiries, leads, interest, sales, or bookings?

3 – Did this give me time back so I can focus on higher value work?

And of course, marketing is one of those key things that lends itself to ongoing business in a big way, because it gets the cash till ringing for clients. When clients feel they’re getting value, and if you’re reliable, my experience is they will stay for years and years, and ask to do more and more with you.

Because many are starting from a low base with this, you can do some fairly simple stuff, and they see the value, and feel good about it.

There are also lots of free and low-cost software tools you can use that will help you. Most VAs will be pretty familiar with working with various online tools these days if they are doing admin. For example, as a VA you may already use an AI tool to help with writing or research, so it isn’t a huge leap to have it help you create certain things. But of course, those tools aren’t always reliable, and marketing is an area where accuracy is vital so the human judgment and touch will always be needed. And, if you just start with simple templated services, you don’t need to be some kind of ‘genius marketer.’  The first task with marketing messages is just to communicate clearly. As an ‘outsider’ who doesn’t normally work in the business, you actually have an advantage there.”

The thought of starting my own business didn’t really occur to me and in all honesty, I kind of fell into it. But what I didn’t realise back then was just how much I would come to love this way of working.

For me, being a Virtual Assistant has been about so much more than just working from home. It’s given me the chance to build a business that works around my family, my lifestyle and even my dogs. 

Here are the things I love most about being a VA – and why you might love it too.

Family Comes First

I’ve got three kids, all at different ages and stages of education. Being there for them was always important to me, and working for myself has allowed me to do that.

I still do the school pick-ups for my youngest, stand on the football pitch for my son and watch all my oldest daughters degree performances and exhibitions. I can be around when they need me, and I don’t have to miss the little (or big) moments. That flexibility is priceless, and it’s one of the biggest reasons I’m so grateful I made this choice.

I also have two dogs at home, and I love that I don’t have to leave them for hours every day. Working from home means they’ve got company, and I can take them out for walks when it suits me. It might sound like a small thing, but it makes such a big difference to my day.

Working for Myself, But Never Alone

One of the things I was worried about when I started out was whether I’d feel isolated working on my own. But actually, it’s been the complete opposite.

I’ve had the chance to work alongside some amazing VAs, freelancers, self employed contractors and of course, the lovely My VA Business team. Even though we all run our own businesses, there’s a real sense of teamwork and community. It feels like I’ve got colleagues, without the office politics!

Clients Who Truly Appreciate What I Do

Another thing I love? My clients.

I get to work with interesting, inspiring business owners who genuinely value the support I provide. They say thank you, they appreciate the lengths I go to, and I can actually see the impact I’m having. That sense of appreciation and purpose is something I sadly never really felt in many of my old roles.

This journey has been a massive learning curve – in the best possible way.

I’m now way more tech-savvy than I used to be. I love finding new tools, apps and systems that streamline processes, save time and boost productivity – both for me and my clients.

How I’ve Changed Over the Years

When I first started, my main focus was copywriting. I’d spent years writing, it was what I knew.

Over time, I discovered I loved the admin side of things more. Helping clients organise, streamline and make their businesses run smoothly was where I excelled.

One of the things I’m grateful for about being a VA is that my business can change with me. As my interests, skills and life circumstances evolve, so can the work I do and the services I offer. It’s a career that grows with me, not one I have to fit into.

Confidence: Finding Strength I Didn’t Know I Had

I’ll be honest – starting out was scary. Why would anyone want to hire me? Would anyone pay me? I was petrified about networking and having to prove I was good at what I did.

I still wouldn’t say I’m the most confident person in the world, but growing my business over the years has opened my eyes to my strengths. I’ve learned how strong I can be when I need to be, and that confidence – even if it’s quiet – is one of the most rewarding parts of this journey.

In Control of My Income

One of the things I really appreciate about running my VA business is being in charge of my own income.

Right now, I’m really happy working part-time hours. I earn enough to have money for holidays and little treats for the family – and that feels just right for me. But what’s great is knowing that if I ever wanted to, I could ramp things up, take on more hours, and bring in more income.

That sense of choice and flexibility is so different from being in a salaried role. It’s empowering to know the control is in my hands.

Clearing the digital clutter (and my head)

First up: my phone. I moved apps like Instagram, Facebook, Gmail and LinkedIn to the second screen. Out of sight, out of mind. 

It’s amazing how this tiny change has helped me break the cycle of aimless scrolling. If you’re building your business around your lifestyle, not the other way round, you’ve got to protect your focus.

More productivity means muting the noise

Notifications? Gone. I disabled them on my iPhone and my MacBook. Constant pings and pop-ups aren’t just annoying, they’re a real threat to your concentration. Now, the only app allowed to interrupt me is Todoist. The rest? Quiet, so I can get into the zone and stay there.

No more red dots

You know those little red badges on your apps that silently scream “LOOK AT ME”? I removed almost all of them. It sounds simple, but it’s made a huge difference. Now, when I sit down to work, I’m not mentally pulled in ten directions. I’m present, focused, and (you guessed it) more productive.

Making focus time non-negotiable

I set focus time on my phone to switch on at certain times each day. This helps me build structure into my day – and when you’re working for yourself, structure is everything. Having protected, uninterrupted time is essential when you’re juggling clients, building your business and everything else life throws at you.

Email efficiency 101

I created a Gmail label specifically for my VA (yes, VAs need VAs too), and set up rules to send any emails she handles directly into that folder. It keeps my inbox clear and helps her get stuck into what she needs without waiting on me. It’s delegation in action, and a great reminder that letting go of control a little can lead to much more control overall.

Making room for what matters

Next, I sorted personal emails – Vinted, banks, newsletters I actually want to read – into their own label with an auto-filter. They’re there when I want to read them, not clogging up my working day. That’s what building a business around your life looks like.

Protecting my energy (and my inbox)

I’ve also started blocking cold emailers. If someone’s landing in my inbox uninvited, trying to sell me something I didn’t ask for? Delete. Block. Move on. It’s one more boundary that helps me stay focused and protects the energy I need to keep my business moving forward.

Take starting your own VA business for example; it’s so easy to fall into the trap of limiting our potential when we’re fighting against assumptions or maybe even past experiences.

Nobody believed that humans were ever meant to fly; but the Wright brothers did. 

Despite peer and expert opinions that it couldn’t be done, they always believed differently. They chose not to be held back by what others thought of, or saw, as impossible.

Your ideas and beliefs might not necessarily be to create something pioneering, inspiring change across the world.

I’m a firm believer that it’s not just a case of possessing the right skill mix that makes a great VA as there are many superb PAs, EAs and Administrators who haven’t made it in their own VA businesses. It definitely wasn’t their lack of skills, ability, or determination – it was simply the case that they didn’t know what they didn’t know. And that cost them greatly.

I’m not a natural morning person – in fact, for years I stayed up working into the early hours of the morning, convinced I was being my most productive after hours. So I never had a great morning routine.  

Until recently.

I’ll be honest, introducing a morning routine wasn’t easy for me – in fact it wasn’t until the third time I read Miracle Morning by Hal Elrod that I finally managed to make a habit out of my morning routine.

When I read this book again recently, I still resonated with it just as much as I did the first couple of times.  But this time something was different – something really clicked.  

Was it that my head was in a different place?  My natural body clock had changed?  Or maybe my brain just needed to absorb the concept multiple times before it sank in…  who knows.

Whatever it was, it revived my vision of being awake to watch the sun rise, hear the birds starting to tweet and enjoy the bliss of the morning stillness before everyone in the house awoke.  There was just something about having prepared for the day and boxed off my exercise before the kids alarm clocks had even rung… a cheeky little smugness that I’d never experienced before.  It’s a feeling that’s really hard to describe – almost like I was winning at life.

But I didn’t get to this point overnight – it took me a year to tweak my routine and a lot of time reading too.  

Another book I found really useful was Atomic Habits by James Clear.  Again, I’d read it before but this time it created a powerful duo with Miracle Morning that seemed to hit the spot for me.  Enough to make me seriously implement – and maintain – a morning routine for the first time ever! 

James Clear talks about the common misconception that a new habit only takes 21 days – the reality is that it takes 66 days.  If I think back now, I can see that in the past I thought it would happen quickly and then felt a failure when it didn’t. Sticking with the process has definitely been a game changer for me.

So, what does my morning routine look like?  

1. I am up and dressed at 6am – (this is honestly a massive change for me – the amusing exclamation of ‘WTF’ from my best friend shows this sort of thing is highly out of character!)
2. Then I’ll find a quiet space for my meditation.
3. Time for gratitude – acknowledge three things I’m grateful for today (there’s always something to be grateful for, even on a really bad day).
4. Practice affirmations and visualisation, then set my intentions for the day.
5. Full body stretch (in the form of Sun Salutations) and a quick weight workout. 
6. Finally a 5k morning walk before I start work at 8.30am – I do this with a friend. Like many things in life, when there’s someone else to answer to, it’s more likely to happen.

Why such a structured morning?

Without this routine, I honestly don’t believe I would have achieved my dream of a house by the sea. The belief, clarity and feeling of being centred that my morning routine gave me, drove me to achieve something I never thought possible.  The house was a massive renovation project and my morning routine was a massive part of me realising my dream – it’s such a critical part of my focus.

But it’s not just for the big dreams – this time in the morning for me is also about building in time for the things I need to do (and often forget) each day for self-care – from taking medication and doing physio exercises to applying a good face cream and enjoying a glass of lemon water or a smoothie. Just build it into your morning routine and you’ll know it will get done!

So what are the benefits?

If I said that having a morning routine could increase your:

• focus
• clarity
• gratitude
• productivity

You’ll see why it can have such a beneficial effect on your business!

Taking time to complete the routine really does set you up for the day – whether it’s the focus on what you need to achieve (such as converting a client or finishing a report), gratitude for what you have and are achieving, or the increased productivity that comes when you stop procrastinating and have a clear vision of what your days should include. 

For me, being forced to go to bed earlier and increase the amount of sleep I’m getting, to the buzz (and serotonin boost) I feel having achieved so much by 8.30am each day, it’s really transformed my wellbeing, as well as my ability to grow the business.

Do I ever give the morning routine a miss?  Hell yeah. I’m far from Little Miss Perfect. Occasionally if I’m tired, under the weather or worse for wear I skip it.  But I try to get back on it the next day; I’m all too aware how rapidly that motivation can disappear. 

And with research showing that habits save energy, wouldn’t you prefer to channel your resources into the things you love, like your work and your family?

But what if you’re not quite there yet? Is it possible to create a winning mindset and help yourself achieve the same successes? Absolutely! Here are my 10 top tips to help you on your way:

1.Believe that anything is possible

I was lucky enough to have a grandmother who drummed into me from a very young age ‘there’s no such word as can’t’ and I fully subscribe to Henry Ford’s belief that ‘whether you think you can or think you can’t, you’re right’.  It might take hard work but I truly believe anything is possible, and it’s the people who bounce back from the bad days and keep going who really achieve great things.

Right now, all around the world, there are people achieving things that nobody thought possible – from large-scale technological advances and medical breakthroughs to successful small businesses and personal milestones. The one thing they have in common is that they all believed they could – and with a simple mindset shift, you can join them.

2. Have a purpose

It’s amazing what you can achieve – and say no to – when you have a purpose.

Having absolute clarity about your purpose is a game changer.  Once you know what you’re here for, it’s very easy to cut out everything that doesn’t align with your purpose. If you don’t know your purpose, you’re in danger of making vague decisions and getting side-tracked by others wasting your valuable time.

Once you have a clear purpose, everything just falls into place. With a laser focus on what you’re on this planet to do, you suddenly find planning your day becomes easier – you’re able to prioritise without doubting yourself and you start making smart decisions that align with your purpose.

3. Have a Vision

Having a crystal clear vision is all about where you see yourself in say 5 or 10 years’ time. And when I say ‘see’ I really mean ‘see’ – creating a picture in your mind and visualising exactly what you’ll be doing, whether that’s building a VA team so you can work 10 hours a week and spend more time with your kids or working nomadically around the world.

There are only two rules for your vision:

1. It must excite you.
2. Don’t just see it – feel it!

On a daily basis take time to remind yourself exactly how it will feel when you achieve it – close your eyes and visualise sitting on that beach, being there for your kids, or whatever your vision is.  Really feel it. If you’re doing it right, it should bring up emotions. If it doesn’t, then maybe you don’t believe it can happen. 

4. Grow a thick skin 

It’s a sad fact but there will always be those who try to sabotage your business dreams – sometimes it will be friends and family and other times strangers. If you’re already having a wobble, it won’t take much for a few unsupportive comments to turn that into a major crisis of confidence in yourself.

Many don’t mean to have this impact of course… but whether it’s their misguided attempts to look out for you or their own limiting beliefs, the fact is that you do really need to grow a thick skin and start ignoring anyone who isn’t on board with your purpose and vision. 

Keep your focus and rise above it!

5. Surround yourself with people who lift you up

Now’s the time to have an honest look around at your circle of friends and ask yourself one simple question – do they lift you up or drag you down? It might sound ruthless but you probably need a cull of all those who are holding you back with their own limiting beliefs. 

And if it’s family or people you can’t avoid? Create a distance and decide to focus on those who can help you learn and thrive instead. Finding like-minded people is a real eye-opener – surrounding yourself with people who understand and can help you achieve your vision will spur you on to success!

6. Set goals and review them regularly 

Now let’s talk about goals. These are not to be confused with your vision or purpose, although they should feed into both of these. Setting goals as a business owner possibly sounds a bit basic and obvious – but you’d be amazed how many people don’t set themselves any goals at all (if you’re someone who struggles with this, a coach or mentor who holds you accountable could be the answer!)

Having really clear goals that you set for the year and review monthly, quarterly and annually really underpins success. A study by Dr. Gail Matthews of the Dominican University of California found that you’re 42% more likely to achieve goals simply by writing them down! 

7. Say No more

Once you have your purpose, vision and goals nailed, it suddenly becomes much easier to say no to anything and everything that doesn’t align with them. It might take practice if you’re not used to it but remember, your time is valuable and it’s not rude to say no – it’s your choice.  It’s amazing how easy it is to say no if you do it with a smile! 

And if you do slip up and say yes without thinking, you don’t have to go through with it! Make it your practice to review your diary each week for the coming week  – this will pick up anything that you shouldn’t have said yes to, giving you time to cancel and focus on what you need to be doing.

8. Take time out

It can be hard to take time away from the day to day demands of your business but it really does pay dividends. Protecting a regular time slot, whether that’s weekly or every couple of weeks, and finding a happy place to relax can really help you think about where your business is going.

It might be going for a walk in nature or like me, finding somewhere overlooking water, you’ll find yourself refreshed and having your best ideas – whether that’s about growing your business, how you want the next year to go or plans for your next marketing campaign.

9. Read like mad

I’m a massive fan of reading, learning and growing and truly believe it can change your motivation and business trajectory. There are so many amazing books to read or listen to on Audible, and I’ve even created a members’ list in the My VA Business Hub which details all my favourite reads and those of my business coach too – ones that have really changed our lives.

I can definitely see the difference in my own businesses when I’m actively listening to Audible and when I’m not.  When I’m listening to books on Audible regularly – I know I achieve more in my business because I’m more motivated and inspired. When I’m not able to listen as much there is dip both in my business growth and personal growth.

10. Let your creative side roll

If your initial response is to say you’re not creative, you’re wrong. We all have a creative side – don’t let anyone tell you otherwise!  You may recognise yours as problem solving, imagination, a flair for writing, quick wit, enterprise, initiative, intuition, taking risks. Creativity comes in many different forms.  Everyone has the capacity to be creative in their business. You just need to tap into it.

The average three year old can draw better than me, so I labelled myself as not creative in the slightest. Yet when I was deeply unhappy, trapped in a corporate role that I couldn’t afford to leave, against all odds I found a way.  That’s creativity.

Another reason to remind you of the importance of having time out and creating headspace – it’s the perfect opportunity to let your creative juices flow.
