(Quite a few questions were around how to actually set up in business, how to get paid, how to onboard clients/do operations/set up systems, how to feel confident and ready and so on… this email is not about “pitching” it, but this is covered in great detail in our FAB VA Programme… we even have an ENTIRE course on how to develop your confidence that people rave about, for example. So please have a look at that if you’ve “set-up”-type questions.)

There were a few recurring themes: 

• How to package and price services
• What services to offer (and which ones make money)
• How to get clients and leads
• How to develop the skills, and…

People also wanted to know a bit more about digital marketing in general, and what it can mean if you’re a VA who wants to generate income, so in this first email, let’s start there.

The phrase “the digital revolution” is so common, we sometimes forget we are only in the very early stages of it.

In particular, digital marketing – by which we mean helping businesses get more visibility, more leads, and more customers using online tools like social media, email, websites, and automation – is a huge and growing market.

If you’re saying “but I’m not a marketer” – bear with me, as we get into that below – but look at the opportunity in the UK:

• Online marketing spend is growing and UK businesses are investing heavily – online ad formats made up 78% of all UK ad spend (~£28.7 bn) in 2023 (source: IAB)

• Most UK small and medium-sized businesses use digital marketing – around 60% use paid digital ads, and 67% use free digital tools (source: eConsultancy)

• Nearly half of UK companies outsource at least some marketing work – this is especially true in business to business (source: Full Mix Marketing)

That means lots of activity, lots of spend, and lots of demand for help. This is ideal for VAs who can offer support with execution.

Rob Tyson, who I have worked with for many years and who has been working in digital marketing for over 20 years, working directly with and training small businesses, explains:

“There are tons of small businesses who need help with this. It’s a growing market – and there’s actually a gap in the market that VAs are in an ideal place for.

Just about every small business owner I’ve ever dealt with feels they need to be doing more marketing, and wants to do more. Generating more interest through marketing gets the cash till ringing. It isn’t like more general VA work which can maybe be looked on as more of a cost. And, in my experience, small businesses who want to do more aren’t expecting “the moon on a stick”. They just want some reliable help to move them to the next level, and as long as they sense benefit, they want to keep going every month, and do more.

At the same time, getting into very high value contracts with a marketing agency is scary for them. So, actually, a VA who comes to them and says: I can offer small, clearly defined services initially, so you can test the water, and build up, sounds very attractive to them. Most agencies have large overheads and so the maths don’t really work for them. 

Having run a marketing agency with staff, I can tell you: it is really not worth your while unless a business can invest perhaps £3000 per month at absolute minimum. There are huge numbers of businesses at the stage where that is too big a commitment but starting at £500, £1000, £2000 a month is not. That leaves a huge gap in the market for a VA who can do simple things.

The marketing of a lot of small businesses tends to be quite basic, or patchy. Most small business owners don’t consider themselves “marketers” and they often don’t really know where to start. Their business is typically based on their own personal relationships or location or maybe one or two “reliable” marketing methods they have, such as a directory listing or professional association. That gives them a “baseline” of business, but they are very aware that a) they are missing out, and b) they are vulnerable if their “usual” channel dries up. What this means is that a little goes quite a long way with these businesses. 

Of course, clients want to see a return. But at the small business level, clients aren’t creating massive spreadsheets to track every click or page view. It’s usually much more “gut feel.” So they are very likely to invest money in things that help with a few things:

1 – Do I finally look professional and consistent online?

Don’t underestimate this one! This is a big one for a lot of small businesses. People feel like they’re behind competitors, inconsistent, disorganised, often social media pages are untidy, out of date, or using poor imagery. A VA can do a lot here, just coming to things with fresh eyes, and psychologically it can give clients a big boost. If a social media page looks neglected or abandoned, it can affect the confidence of prospects. Just by posting once or a few times a week consistently, a VA can help a lot with this and the business owner knows it’s taken care of.

2 – Did this bring me more enquiries, leads, interest, sales, or bookings?

3 – Did this give me time back so I can focus on higher value work?

And of course, marketing is one of those key things that lends itself to ongoing business in a big way, because it gets the cash till ringing for clients. When clients feel they’re getting value, and if you’re reliable, my experience is they will stay for years and years, and ask to do more and more with you.

Because many are starting from a low base with this, you can do some fairly simple stuff, and they see the value, and feel good about it.

There are also lots of free and low-cost software tools you can use that will help you. Most VAs will be pretty familiar with working with various online tools these days if they are doing admin. For example, as a VA you may already use an AI tool to help with writing or research, so it isn’t a huge leap to have it help you create certain things. But of course, those tools aren’t always reliable, and marketing is an area where accuracy is vital so the human judgment and touch will always be needed. And, if you just start with simple templated services, you don’t need to be some kind of ‘genius marketer.’  The first task with marketing messages is just to communicate clearly. As an ‘outsider’ who doesn’t normally work in the business, you actually have an advantage there.”

Clearing the digital clutter (and my head)

First up: my phone. I moved apps like Instagram, Facebook, Gmail and LinkedIn to the second screen. Out of sight, out of mind. 

It’s amazing how this tiny change has helped me break the cycle of aimless scrolling. If you’re building your business around your lifestyle, not the other way round, you’ve got to protect your focus.

More productivity means muting the noise

Notifications? Gone. I disabled them on my iPhone and my MacBook. Constant pings and pop-ups aren’t just annoying, they’re a real threat to your concentration. Now, the only app allowed to interrupt me is Todoist. The rest? Quiet, so I can get into the zone and stay there.

No more red dots

You know those little red badges on your apps that silently scream “LOOK AT ME”? I removed almost all of them. It sounds simple, but it’s made a huge difference. Now, when I sit down to work, I’m not mentally pulled in ten directions. I’m present, focused, and (you guessed it) more productive.

Making focus time non-negotiable

I set focus time on my phone to switch on at certain times each day. This helps me build structure into my day – and when you’re working for yourself, structure is everything. Having protected, uninterrupted time is essential when you’re juggling clients, building your business and everything else life throws at you.

Email efficiency 101

I created a Gmail label specifically for my VA (yes, VAs need VAs too), and set up rules to send any emails she handles directly into that folder. It keeps my inbox clear and helps her get stuck into what she needs without waiting on me. It’s delegation in action, and a great reminder that letting go of control a little can lead to much more control overall.

Making room for what matters

Next, I sorted personal emails – Vinted, banks, newsletters I actually want to read – into their own label with an auto-filter. They’re there when I want to read them, not clogging up my working day. That’s what building a business around your life looks like.

Protecting my energy (and my inbox)

I’ve also started blocking cold emailers. If someone’s landing in my inbox uninvited, trying to sell me something I didn’t ask for? Delete. Block. Move on. It’s one more boundary that helps me stay focused and protects the energy I need to keep my business moving forward.

Why? They had time to think. Time to consider their future. Time to put into action a dream that kept being pushed to one side for the demands of everyday life. Even if people were not furloughed during lockdown, they had more flexibility than perhaps they normally would have had, to fit in the set up of a business around their existing job.

There was a little bit of concern generally in the VA industry about ‘any Tom Dick or Harry’ setting up a VA business without the relevant skills, and potentially giving the VA industry a bad name. I agreed with this concern, having spoken to some people who clearly were not cut out to be a VA. I guess there is potential for this to happen in any unregulated industry.

This brought a new burning question, which we were asked in most of the discovery calls we had with people who were thinking of setting up as a VA. The new question even took over from how do I get clients in a VA business, what services can I offer and what do I charge. 

Is the VA market flooded? 

There was concern that with so many people setting up as Virtual Assistants, there wouldn’t be enough clients to go round everyone. Not that I believed this was the case at the time anyway, but rest assured, it transpires that it definitely isn’t an issue. Read on to find out why.

So what happened after lockdown?

I don’t have exact statistics and this article is purely what I have been seeing personally, as a VA mentor and from running a VA company myself.  But it has become pretty obvious that a large percentage of people who intended to set up a Virtual Assistant business in lockdown have either changed their mind now they’re back into the swing of normal life again, or they were just trying it out… dipping their toe in and were never really serious about making a proper living out of it.

And now with the Covid aftermath, where does this leave the VA industry?

Well we are certainly in a place that I’ve never before witnessed in the Virtual Assistant industry in 17 years. We are seeing big change.

In my own Virtual Assistant business, we are having more and more clients ask us to run their side gig business for them, whilst they continue working in a full-time job. So, whether you like it or not (and some people in the VA industry don’t), the fact is that more people are looking to set up side gigs.

The ‘side gig’ clientele is not one we have not seen too much of until recently.  It’s exciting because it is opening up more opportunities for VAs to offer a service to these people. 

And then there are the people who want to set up a Virtual Assistant business as their own side gig.

Who would have thought it… a side gig VA business running a client’s side gig business. But this seems to be the way the world is going.  Is it temporary? Who knows, only time will tell.

So why is a VA side gig business popular at the moment? 

Without wanting to state the obvious, the ability to top up income in the current climate is becoming more and more appealing.  Just as an example, based on an average hourly rate of £27 working just one hour per day Monday to Friday, a VA could earn £585 per month. Not to be sniffed at – especially with those pesky fuel and household bills sneaking up.

And people are reluctant at the moment to jump ship from a ‘secure’ job with a pension into a self-employed role as a Virtual Assistant that is unknown to them. So there are an increasing number of people setting up as a VA alongside their full-time job. Not necessarily as a side gig, but to make sure it works for them before they quit the day job.

What about getting Virtual Assistant clients in the current climate?

Luckily, most people who use a Virtual Assistant have a growth mindset, are highly driven, and are not drawn in by media hype. They are entrepreneurs who are likely to thrive when other businesses fail.  So personally, I haven’t seen any downturn whatsoever in my own Virtual Assistant business. Our existing clients are going strong, and we are receiving new enquiries. 

I’m not saying that all people who use a VA are unaffected by covid and the current situation, but as anyone who has done one of our programmes knows, the typical ‘client avatar’ of a VA have thriving, successful businesses – even now.

These last few years have seen some interesting changes in the VA world. Whether you like them or not, one thing’s for sure, it’s happening regardless and you can’t ignore it. So hop on the bus of change, embrace the opportunities that the side gig phenomenon brings… or get left behind.

You’ve spent years building your career –  putting up with the stress, the long hours, and the office politics so long that you almost don’t notice them anymore.

And I’m a great believer that it’s never too late.

So many people tend to write themselves off as they approach middle age, yet it’s a great time to take stock and see what’s really important in your life.

Whether that’s spending more time with the people you love, giving something back to society, discovering new interests or finding a renewed sense of purpose.

I’ve met a lot of people wrestling with these issues but then seen many sadly return to the well worn groove they’ve made for themselves.

Maybe it’s a sense of comfort in the ordinary or a fear of failure but it just seems a real shame that they didn’t give themselves another chance to shine.

I do appreciate it can seem daunting to step out of the day to day and really shake things up. Yet it really is possible if you get the right guide or a roadmap to show you how to make things happen.

Don’t get me wrong – I can see the appeal of a franchise to someone starting out who just wants to set up their virtual assistant business and get going. After all, if you’re new to the VA world and looking for virtual assistant training, a franchise promises all this and more.

You don’t need to spend hours worrying about logos and names as you’ll be buying into an established brand, and you can hit the ground running with support and in house virtual assistant training.

If you’re feeling uncertain about your own abilities or you’re facing disapproval from your nearest and dearest about giving up your job and taking a new direction, it can seem an easy route to mitigating some of the risk.

Is the cost too high?

In another blog post, I warned that cheap virtual assistant training is often a false economy – it’s too generic, often not UK specific and leaves you wide open to legal and compliance issues that you aren’t taught about.

Yet there are just as many issues with paying high franchise costs.

From the upfront franchise fee to ongoing loyalty payments and strict contracts that tie you into their suppliers, it can start to seem as if the only person making any money from your hard work is the franchise company itself.

Do you really want to face months of hard work just to break even after such high upfront costs and then face the prospect of paying a percentage of your profits to them each month once you start to succeed?

There are other methods of virtual assistant training that can give you just as much support, without chaining you to such a large financial burden.

Who is in control?

And it’s not just the monetary cost.

If the point of working for yourself is to regain control and flexibility in your working life, the cost of jumping to someone else’s tune can make you feel you’re back to square one. 

And while not every franchise is the same, the numerous stories of strict regulations and conflict with the franchise company might make you wonder if you’d be better off just staying in the corporate world.

It certainly doesn’t sound appealing to me compared to the freedom you have with our FAB-VA Programme!

If you’ve been toying with the idea of setting up a virtual assistant business but don’t know where to start, you’ve probably been googling to see what type of support is out there.

And while there’s a big market these days for virtual assistant training, the range of options can seem a little overwhelming to say the least.

You might even be forgiven for thinking that it can’t be that hard if there are so many ‘experts’ out there who can teach you how to build your business in a couple of hours or for a bargain £59.

After all, if it was complicated, you’d hardly be able to learn it all for that price, right?

Yet it’s a classic case of ‘you don’t know what you don’t know’ if you decide to skimp on virtual assistant training.

Falling for the ads

I’ve lost count of the number of people I’ve seen who’ve been taken in by anonymous companies selling useless information that just doesn’t work.

Yes, their ads might seem to sell you a dream – I’ve seen them, and they can be compelling, especially when you’re starting out and funds are tight. Who wouldn’t want to create a better life for only £59? If only it was that easy.

In reality, you’ve almost certainly just wasted your money and worse still, left yourself at risk of serious and costly errors when it comes to the legal and compliance side of your VA business.

If you’re paying so little, I can guarantee you it’s not going to teach you everything you’ll need to know and more often than not, it’s aimed at the US market and not even relevant to the market here in the UK.

Value vs cost

So, am I saying that spending more money is the way forward when it comes to virtual assistant training? No as that isn’t the case either and I’ll be looking at why not in another blog post soon (but let me just say for now that paying too much and signing away a percentage of your profits isn’t necessary either!).

What I’m saying is that you need to know what you’re looking for and base your decision on value rather than cost.

A good place to start is to look for approved virtual assistant training via the Society of Virtual Assistants – this guarantees you that best practice is being followed and that your support has the knowledge and experience to mentor you as you set up and grow your own business.
